Cleaning records that hold up to scrutiny

Timestamped photo proof, real-time issue reporting, and shared visibility for environmental services teams across patient-facing spaces.

Healthcare facility cleaning and service operations
Healthcare facility reality

Healthcare cleaning records need to be retrievable, not reconstructed

Healthcare and clinic environments put extra pressure on documentation. Waiting rooms, exam areas, restrooms, public corridors, and staff-facing spaces can all require quick response, but the record matters after the response too. Managers need to know what was reported, who handled it, and what record exists without searching paper binders or chat history.

That operational record should not require a full maintenance platform. Teams can scan the relevant zone, route the issue or task, and attach photos or notes so clinic managers and environmental services leaders can review activity by location and time.

Operational Challenges

Where teams usually lose visibility

  • Meeting documentation standards in patient-facing environments where response time is scrutinized.
  • Producing retrievable cleaning logs that support your facility's compliance program — without paper binders or manual report assembly.
  • Proving service quality and turnaround times to healthcare facility managers consistently.
  • Coordinating between your team and onsite facility staff without a shared system.
What CleanScan Improves

A clearer system for reporting, routing, and proof

  • Document issues and responses by location, time, and team with retrievable records.
  • Give operations leaders a clean documentation trail per zone, per shift, per task — pulled in minutes instead of assembled from paper.
  • Prove service quality and turnaround times to healthcare clients before they ask.
  • Improve communication between your team and onsite facility staff through shared visibility.

Who it serves

One system for the team doing the work and the team overseeing it

CleanScan works best when both sides can see the same record: what was reported, who owns it now, and what proof exists once the work is done.

For Service Teams

Environmental and facility service providers use CleanScan to document service quality and turnaround times.

For Facility Operators

Keep standards visible across every location

Healthcare teams use CleanScan to improve responsiveness and maintain a stronger audit trail.

Compliance posture

Where CleanScan fits in healthcare — and where it doesn't

CleanScan documents cleaning activity, issue reports, and resolution proof in facility-managed spaces: waiting rooms, restrooms, lobbies, corridors, and staff areas. It is not a clinical system. It is not an infection control platform, and it is not designed to create, receive, or store protected health information — no patient information should ever be entered into reports, notes, or photos.

CleanScan does not currently offer a Business Associate Agreement, so deployments should be scoped to non-clinical, facility-managed spaces, with photo workflows disabled in patient-care and other privacy-sensitive areas. CleanScan is not SOC 2 certified today and is building toward SOC 2 readiness.

Compliance, risk, and facility teams can request a direct security review at privacy@cleanscan.io before any deployment.

Full details for reviewers are in the Trust Center and the Facility Approval brief.

FAQ

Common questions about CleanScan for healthcare

Is CleanScan an infection control system?

No. CleanScan is not an infection control platform. It helps environmental services and facility teams document cleaning activity, issue response, and photos or notes by zone so records are easier to retrieve.

Is CleanScan HIPAA compliant?

CleanScan is not designed to handle protected health information and does not currently offer a Business Associate Agreement. Deploy it in non-clinical, facility-managed spaces — waiting rooms, restrooms, corridors — where the content is cleaning records, not patient data. Compliance teams can request a security review at privacy@cleanscan.io.

What healthcare spaces can be tracked?

Common zones include waiting rooms, restrooms, exam room corridors, lobbies, public hallways, staff areas, and other non-clinical or facility-managed spaces where response records matter.

Can contractors share records with healthcare facility managers?

Yes. Contractors can keep a structured record of issue resolution and cleaning activity that facility managers can review without chasing screenshots or manual summaries.
